Terms and Conditions

  1. All bookings and payments are non refundable in the event you or a member of your party, or your venue cancels.

  2. A 50% deposit is required to secure your chosen date or a minimum £50 holding deposit. We cannot hold dates for longer than 48 hours without a deposit.

  3. The remaining balance is due 20 working days before the event unless otherwise agreed. 

  4. If your booking is closer than 20 working days then the full amount will be due ideally at the time of booking but we will otherwise arrange a final due date. This chosen date will be agreed in writing.

  5. Please be aware that we work in Acrylic paints which are non toxic and water based. This will wash off hands and is safe if there is any accidental consumption however it can stain clothing, carpets and fabrics and some other surfaces. We accept no responsibility for any loss or damage caused.

  6. Whilst we do provide items such as cloth and aprons, we cannot be held liable and accept no responsibility if these measures fail.

  7. Please note that all advertised prices are based on your supply of the venue. If we supply a venue an additional charge or increased per person rate shall apply. 

  8. If you are supplying a venue, you will be responsible for it's suitability for the event chosen.

  9. The tutor will need to access the chosen venue at least 45 minutes prior to the event start time to ensure the set up is complete. For bookings of 20+ people, we may need to arrive earlier.

  10. It will take 30-45 minutes to pack away at the end of the event. We will need tables cleared of personal items in order to do this.

  11. Most sessions for adults, unless otherwise agreed/discussed, last 120 minutes approximately. Some are less or more depending on the client group. This time frame does not allow for a break for food. If you would like to break for food we can only break for 30-40 minutes or there would be an added time charge applied. We allow 2.5 hours for private bookings for activity time plus 1.5 hours of set up and clear up time. This is how we are able to offer our very completive prices. If additional time is needed (above the overall allotted 4 hours) we do have to add on a £17 charge per 30 minutes per Sunflower Artistry member of staff in attendance.

  12. Sessions for children aim to last 60-90 minutes due to reduced attention spans. This time frame does not allow for a break for food. If you would like to break for food we can only break for 20-30 minutes or there would be an added time charge applied. We allow 2 hours max for private bookings for activity time plus 1.5 hours of set up and clear up time. This is how we are able to offer our very completive prices. If additional time is needed (above the allotted 3.5 hours) we do have to add on a £17 charge per Sunflower Artistry member of staff in attendance for each 30 minutes of extra time.

  13. If an additional time charge is applied, we would invoice for this after the event and payment would be needed within 10 working days.

  14. Most events will be attended by one member of our team. In the event the booking is over 16 people, a second person will attend. If we exceed 25 people then a third person will also attend. We do not charge extra for additional staff at these numbers.

  15. We charge £5 per additional 15 minutes of travel. Travel within 30 minutes (15 miles) of Sudbury is free. Travel charge is calculated at time of booking. We do not charge extra if we are caught in traffic or have to follow diversions but it is appreciated if you can let us know if you know of any diversions near to the time of the event to aid our planning. Travel charge is applied to both journeys.

  16. Please have your guests arrive 15 minutes before the event.

  17. Please be aware that if we start late, the session will over run.

  18. If you have booked to have us set up tables and chairs, please be aware we will need more time before and after the event to do this.

  19. Hosts remain responsible for the conduct of all guests. We trust that all attendees will treat all items with care.

  20. We will not tolerate abusive behaviour.

  21. In the event behaviour is in appropriate and/or items are being damaged, we reserve the right to immediately end the event and leave. No refunds shall be given.

  22. In the unlikely event we have to cancel or postpone the event, we endeavour to give as much notice as possible to the host and all funds and deposits paid will be refunded.

  23. Prices per person are subject to the number of people booked at time of deposit. If your numbers change, we cannot alter the cost per person to a lower rate if this is after the final balance has been paid. If your numbers fall, we will require the original agreed invoice amount.

  24. Final numbers are required 3 days before the event and any additional amount owed will be due at the same time.

  25. Charity bookings - You will be invoiced after the event and no deposit is required. Please note that this is the only difference for you in the terms and conditions.
